Personalizing TracCloud

There are many ways you can customize TracCloud, from your Welcome Messages to Emails, and System Colors to Center Descriptions. This newsletter will briefly cover many of the possible ways you can personalize your TracCloud instance with links to additional resources where needed.

Announcements and Welcome Messages

These appear on the dashboard and can contain a unique message for different user types. A Welcome Message would typically contain instructions for using TracCloud or links to external resources, and Announcements are frequently used to display temporary notices. Announcements can also be assigned a date range, so they’re automatically hidden when no longer relevant.

Emails and Texts The subject and body of your appointment confirmations, resource notices, email templates and more are all entirely customizable. Use Twig to personalize the message for the specific student, staff, or faculty recipient, and use HTML to format your text and embed media.

Login/Logout messages

Want to deliver personalized messages to your students as they login or logout on your kiosk? This is possible with the Welcome and Goodbye messages in your Profile Preferences. This option is found in Other > Other Options > Profiles > [Your Profile] > Prefs > Log Listing Message > Welcome / Goodbye Messages.

Upcoming Appointments

Both students and consultants can see their upcoming appointments on the TracCloud dashboard, and the text shown here is all entirely customizable. This can be managed by going to Other > Other Options > Profiles > [Your Profile] > Prefs > Scheduling > Appointment Display. This is one of the more in-depth uses of Twig and HTML in TracCloud, if you need any help customizing these, feel free to reach out to us here.

Center Descriptions

During the search availability process, it’s possible for a student to click on the name of the center to view more information. You can set a description, hours, address, and even embed images here. This window can be customized on a per-center basis or you can create a profile-wide default. To edit an individual center, go to Other > Other Options > Profiles > [Your Profile] > Centers > [Your Center] > Additional. To edit your profile default, go to Other > Other Options > Profiles > [Your Profile] > Prefs > Location, Hours, and Description.

System Color and Logo

Your Trac System’s color theme and logo should match your campus branding. Your color choices affect everything from the color of the top navigation bar to the text on clickable buttons, and the logo appears at all times in the lower-right corner of TracCloud. These settings can be found in Other > Other Options > Preferences > System Preferences, at the very top of the menu.

Search Availability Messaging

Even your search availability widget can be customized, everything from the title of this box to the instructions shown on the results page to make this process as easy and informative as possible for your students and staff.
