Save a Student List

Do you frequently need to run reports on or email specific subsets of students? Possibly by athlete status, number of appointments, by major, class, etc. If so, lists provide a way to group those students together so you don't need to search from scratch whenever you need that student population. This newsletter will show how you can create student lists, both "static" and "dynamic."

Static lists are used to group a specific set of students together. After creating a static list, you will be able to add/remove students over time and as needed. Dynamic lists are based on a search, and keep themselves up to date over time. For example, if you create a dynamic list of students with a major of "Mathematics," that list will update itself as new students with that major are imported or as students change majors. Pick whichever method is easiest for you to maintain, they both operate the same after creation, as you run reports on them, send mass emails, etc.

SysAdmins can manage custom lists by navigating to Other > Other Options > Preferences > Custom Lists, and group access can be assigned to these lists, ensuring that only specific user groups (e.g., Consultants, Administrators, Front Desk, etc) can access a certain list.

The easiest way to create a list is from the student listing. Click the "Students" button in your navigation bar, and perform any search. For example, if your objective is to compile a list of all actively enrolled students majoring in "Mathematics," you may use the "Power Search" tool in the hamburger menu and fill out the fields as seen in the screenshot below.

Now that your search results are filtered, you can create that list. Click the hamburger icon > Lists > Create New Dynamic List OR Create New Static List depending on your preferred method. Give it a name when prompted, then click OK.
