Batch Visit QR Codes

In Addition to standard Batch Visit functionality, TracCloud also offers the ability to create QR Codes linked to the visit information you enter. These can be created in advance and are made available from the Batch Visit Center selection menu. These QR codes are frequently used for SI sessions and workshops, where Kiosk logins may be less convenient. After you have generated a batch code, a QR code will appear on the left side under the consultation started time.

You can click on this QR code to be taken to a log in screen for your SI/workshop session. This is a screen that would be great to display to your students on a monitor or tablet. Whenever a student logs into your session, their name will appear in a list on the right-side of the screen. In addition to this is the ability to send an email to all students on the list at once.

By default, the QR code will remain active for as long as the session is taking place. However, if you would like to keep the QR code active after the session has already ended, you can change a preference to make this possible. The setting can be found by navigating to Other > Other Options > Profiles > [Your Profile] > Prefs > Scheduling > Time Restrictions, and look for the setting titled "QR Codes expire after (Days Hrs:Min)" towards the bottom. You’ll want to set this time to however long you want the QR code to remain active after the session has ended. For example, if you set this to 30 minutes and you had a 1-hour SI session, then the QR code will be active for the full hour the session takes place, and it will remain active for another 30 minutes afterwards.

If you ever find that you need to return to this batch visit to make any adjustments, you can find it listed under the “New Batch for This Center” button, if the batch visit is still active. You can also click on the batch code here to open the log in page.
