Appointment Documents

Did you know that your students can be given the ability to upload documents to appointments? Once a student uploads a document to an appointment, the consultant can then view that document by downloading it themselves. This is especially useful for writing centers so that students can upload their essays to the appointments.

First step to allowing you students to do this would be enabling an option inside your profile preferences. We’ll want to navigate to Other > Other Options > Profiles > (Select Desired Profile) > Prefs > Scheduling > Other Schedule Options, and check the box for “Allow student to upload documents to the appointment”.

After this, we’ll want to create a document type. The name of the document type is up to you, and will be selected during upload. Which type is selected determines who has access to that file. For example, a document type of "Essay" might be shared with everyone, while "Administrator Document" might only be available to select users. For details on creating document types, click here.

Once we have our document type created, we’ll need to give our students access to this type inside of their group permissions. First let’s head to their group by going to Other > Other Options > Groups > Students, then scroll down to “Document types.” Finally, click on the pencil icon to assign your desired document type to the students. Once this is all done, your students can start uploading documents to their appointments.

From the student perspective, all I need to do to upload a document is click on my appointment, click on the "Document" tab, then click "New." This will prompt the student to upload a file from their device, or they can upload a URL link to a document from a cloud service (e.g., Google Docs). The student will want to choose which type of document is being uploaded (If there are multiple options) and they can also enter additional notes toward the bottom.

After they click “save”, the document will be uploaded and the consultant or any other staff member who has access to see this appointment can view the document. Please note that the consultant or any other staff member also need to be given access to the document type in their permission group access, just like students.
